This functionality has been particularly beneficial for organizations with strict document and records management policies, such as the 13 departments within the Western Cape Government that have implemented the software. These departments have successfully utilized OpenText to ensure compliance with regulations managed by archive services.

One global customer, a hospital gas provider, has also found great value in OpenText LiveLink. We have deployed different versions of OpenText across several departments and I have used two different versions. For instance, when it comes to non technical use, such as document management and storage, I have used OpenText Content Suite and it works really well. But since I work in the accounts and finance department, I have widely used ECM OpenText version. It offers features such as invoice automation, invoice verification, and management all of which makes handling workflow easy.
  • ECM OpenText version is secure and easy to use
  • The different versions makes it easy to accomplish different tasks . We have more than three versions deployed in our company
  • The software is highly scalable
  • There are many customization options
  • The software is relatively affordable
  • Integration with other products such as Microsoft Outlook is not easy
  • Few document types accepted
The good thing about OpenText is that it offers different versions which therefore means there is a version for different needs and any business can find a version that suits their needs. Whether you need OpenText for non technical use for instance for general document management and storage, OpenText Content Suite works well. But for handling accounting issues, you need ECM OpenText version. Therefore most businesses can benefit from OpenText. You just have to know what works for your business.

OpenText content server is used enterprise-wide to manage client project data as well as internal administrative information. ECM is now evolving using the AGA toolset to become the archive and Records Management solution. This includes integration to our SharePoint solution.
  • OpenText handles high volumes of data very well and is stable when handling large volumes.
  • OpenText provides a solid security model that is intuitive to users and easy for them to grasp.
  • OpenText integrates well to he transitional file/folder based models that many end users prefer.
  • The user interface and configurability of that interface lack a lot of flexibility and modern tools.
  • There needs to be stronger and more powerful integration to electronic forms and workflow capabilities which are core to modern ECM.
  • Management of audit and content history needs to be modernized and made more dynamic and sustainable.
Very strong in high volume management of content but anywhere that user interaction and interface is critical, the application makes strong adoption very difficult.
Applications where security and audit are necessary are well suited but pure 'website' design for collaboration is not well suited.

  • Provides a strong 'single source of truth' for long term retention of electronic records.
  • The user interface and flexibility make user adoption a challenge. Therefore it is difficult to attain objectives related to reduced storage.
  • ECM sits as a central hub to the overall information strategy. However to gain the value of this we must have stronger and more open integration toolkits.
OpenText is stronger in the management of high volume and secure information. However, SharePoint, while less functional from a document management perspective, provides a much stronger user interface which eases user adoption and the presentation of content. SharePoint also has a significantly larger ecosystem of developers and partners that makes solutions more available.

We have implemented it in 13 departments within the Western Cape Government. It is being used through the whole organisation for document and records management. The file plans of the various departments as well as the retention schedules are being used to manage the documents. A strict records and document management policy are being adhered to within the whole organisation managed by archive services.
  • Document Management is being done well since it allows you to put in a corporate folder structure that applies to the business unit you currently work in.
  • Records Management works well in this organisation as it allows you to classify the document according to the file plan, as well as manage it according to the retention schedule for tat file plan.
  • The ability to collaborate on files works really well. You can share with users within your group, as well as allow other users access to the files for either read access to read/write access.
  • Access control of the folder and even individual files allows you to ensure only necessary people can have the right type of access. This is especially welcome in the government environment where document management is of utmost importance.
  • The forms maker that comes bundled with the product is not always that easy to use. I would like to see it come standard with a better forms maker application.
  • The user interface of version 10.5.2 can be quite daunting when you first start using it. Once you get to know it, it becomes easier. Also for non-technical users it can be quite difficult to get going with it.
  • There are no easy reports creation application that comes with version 10.5.2. So getting usage stats can become quite a difficult task and a database administrator is need to write the necessary queries to get the reports.
Your organisation has to support the type of document and records management needed for this to work. In an organisation that only needs to store documents and maybe share with many different parties, this might not be the best-suited software. In a large organisation with stringent document and records management policies, this suite is well suited. It makes management of documents across business units easy to manage and control.

  • It has ensured that some processes can be expedited through the document management coupled with workflow. This give us the ability to provide a better services to the public.
  • It has reduced the use of paper since you can now access your document from your laptop or mobile device to use within meeting or even working from home.
  • It has saved on time by sharing document with parties thousands of kilometers away. and they can collaborate and the document is available immediately for access on this side. There is only one version available and multiple document attached to emails.
SharePoint is not very strong on records management as part of the base system. So after evaluation, it was found to not comply to all needs and therefore discarded. We also evaluated Afresco which is an opensource offering. The problem was that we could not find enough people with Alfresco skills to implement it with enough confidence that it will be successful. We also had a problem then with supporting the implementation. We could get all necessary training from OpenText to allow us to support the project in-house.
